If you love glossy, only use it on the front of the card, with a matte finish on the back. When you get home, date the cards and put the name of the event on them. The date is important, especially if you attend the same event frequently. Categorize your cards into priority status. Your most urgent priority are people who are quality prospects for you, and whom you want to follow-up with a private appointment right away. Other stacks might be for people who would refer you business or service providers that you want to use yourself. Decide if you want to keep the card or toss it. Some people recommend throwing away cards that will not move your business forward immediately. I personally prefer to save them because even though someone may not be a direct business contact, they could be a possible referral for others, or simply a social connection. You will obviously want to toss the cards of people who turned you off, or who would be of absolutely no use to you. Input your cards into your electronic contact manager. I use Microsoft Outlook to input my cards, and I create categories for various things such as the event venue, type of service they provide, who referred, etc. If you own a card scanner, it makes the process much easier. After you input your card information, put your physical cards into a large notebook. Use dividers that are alphabetical and sort by first name or by your own personal preference. Business card plastic sleeves with 10 business cards to a page work perfectly. I find that if I put cards into a card file or box, I tend to forget about them. In a notebook, they are visible. Do not put cards back to back, because you will want to read the notes you made. Don’t procrastinate in filing your cards.It is best to input the business cards you have collected the same evening or next day after the event. If you wait, piles will stack up until it becomes an enormous and time-consuming task. Hire an assistant. Unless you have time, during non people hours to organize your contacts yourself, it pays to hire an assistant, college student or even a teenager to help you stay organized.The most important thing is to follow up within 48 hours for every prospect you feel is a qualified lead for your business. Send an email or make a phone call to each prospect thanking them for making a connection with you, and ask for an appointment to meet. Give them 2 choices of dates and times that you will be available.
